Prevent’s Workflow Automation helps you automatically take actions on orders based on their risk level.
What Is Workflow Automation?
Workflow Automation lets you define IF–THEN rules that act automatically when an order matches specific conditions.
For example:
If Risk Score > 50, then Hold Order.
This allows Prevent to handle low-risk orders automatically while flagging or pausing high-risk ones for manual review — saving you time and minimizing risk.
You can manage rules in your Prevent Dashboard under:
Settings → Prevent Settings → Workflow Automation
How to Enable a Workflow Automation Rule
Log in to your Prevent Dashboard.
Navigate to Prevent Settings → Workflow Automation.
Click Set New Rule.
Give your rule a name (e.g., High-Risk Hold).
Define your IF conditions (e.g., Risk Score > 50).
Select a THEN action (e.g., Hold Order).
Click Set Rule to save and activate.
What Are the Supported Actions?
You can automate your decision-making and streamline your fulfilment process with actions actions like Proceed, On Hold, Verify, and Cancel.
Proceed
For low-risk orders that can move straight to fulfilment. Marks the order as Closed in Prevent, signalling it’s been reviewed, cleared, and is ready for fulfilment. The order status in your commerce platform remains the same, so your normal fulfilment process continues uninterrupted.
Pro tip: Use the “Proceed” action for your lowest-risk orders to accelerate fulfilment and minimize manual reviews.
On Hold
For high-risk orders that need manual review. Prevent flags the order with an “On Hold” status and logs the reason for review. This helps your team and fulfilment partners identify which orders need extra attention. Once approved, simply release the hold in your system to allow fulfilment to continue.
Pro tip: Use the “On Hold” action for when you want time to investigate orders before proceeding with fulfilment.
Verify
For medium-risk orders requiring buyer confirmation. Prevent sends a branded verification email to the buyer, using your store name, logo, and order details to confirm the purchase.
Pro tip: Customize verification timing, messages, and fallback actions in your Prevent settings for maximum flexibility.
Cancel
For ultra-high-risk orders that should not be fulfilled. The order is canceled only if it’s unfulfilled and not already canceled or refunded. When canceling the order, Prevent updates the order’s status to “Canceled” and initiates a full refund to the buyer.
Pro tip: Reserve this action for the highest-risk orders only.
Can I Receive Notifications When a Rule Is Triggered?
Yes!
You can enable Email Notifications for any rule in your Workflow Automation settings.
When activated, Prevent will send alerts each time a rule is triggered — keeping you informed in real time.
Does Rule Order Matter?
Yes — rule order is very important.
Prevent processes rules from top to bottom, and once a rule’s conditions are met, it applies that action and skips any rules below it.
Tips for managing rule order:
Place strict rules (like Hold all orders over $2,000) at the top.
Order from specific to general.
Avoid conflicting rules (e.g., one approving and another holding the same order).
Why Are “On Hold” Orders Being Released Automatically?
This usually happens if another automation tool (such as a fulfilment or inventory workflow) overrides Prevent’s hold action.
To prevent this, make sure your other automation tools include a condition to check if an order is “On Hold” before proceeding.
Can Workflow Automation Trigger Buyer Verification?
